What is Technology Utilization?

In today's time- when everyone is very conscious of their departmental budgets and want to stretch their dollars for more value, utilizing technology is the best way to see immediate and tangible results.

By not properly utilizing their existing technology, organizations loose tens of millions of dollars a year!

Very often companies pay millions of dollars in license fees, but don't completely utilize the technology they have purchased! At other times, they obtain multiple applications with similar features! This increases their IT Operations costs and they miss opportunities to incorporate automation in their processes by not utilizing (thru unawareness) their existing systems and technologies.

There are three steps that every organization can take to ensure that they are utilizing their current technology to the "bare minimum" efficiency! Further rationalization and process architecture will allow for true and comprehensive technology utilization.
  1. Ensure Correct License Count & fees- Make sure that you know the user count and are paying accurate license fees. Check to see if you can negotiate a better plan with the application vendor/s.
  2. Remove Application “Duplicates”- Conduct a simple Application Rationalization check to ensure that you have ONLY ONE application providing specific set of business functionalities. Even though you are not paying additional license fees, duplicate applications still add to IT Operations- support and training overhead costs.
  3. Know your User- Have a clear policy for requesting non-standard Business applications. Put controls in place to check and ensure that a user truly needs the requested application to conduct their work duties. Many a times this can easily be accomplished by having their supervisor approve their application request.

Detailed application rationalization along with technology-process gaps identified by conducting process architecture workshops will provide further avenues to comprehensively utilize current existing technology within the organization.

Technology Utilization not only helps with immediate cost savings as reduced license fees and IT Operations costs, but it also allows for streamlining and automating relevant processes that help by reducing/eliminating costs that arise from human error. Comprehensive Technology Utilization ultimately helps with providing efficient business services and increasing customer satisfaction.

IT department keeps trying to stay abreast of rapidly changing technology and wide range of client requirements across the organization. There is structured approach to growth, expansion and sustainment. Quality Indicators (QIs) and Key Performance Indicators (KPIs) are included within the IT Service Framework to ensure that client requirements are truly met while also attaining the greater vision for IT department and the Organization.  Even when IT is trying hard, clients feel unrepresented and are disengaged. This further makes it difficult for IT to roll out applications which will be optimally utilized by the client. Over time, this becomes a big relationship hurdle leading to waste from over-processing and under-utilization of applications and resources. Lean-IT principles help to eliminate waste of technology, capital and resources. In addition, by appropriately incorporating client’s requirements and feedback in application selection and project roll-out; there is a marked increase in client satisfaction and engagement.   Client feedback is obtained from complaints and Relationship managers. More vocal clients end up getting more attention, even though this may not be in the overall good of the Organization or IT Department. Structured approach to including Voice of Customer (VoC) and factors that are Critical to Quality (CTQ) into the Voice of Process (VoP).

Slide 7: Lean-IT: Using Lean principles to increase IT effectiveness Lean can help with reducing waste related to Unnecessary Motion Similar to Transportation, waste arising from Unnecessary Motion may not seem as obvious in IT as in manufacturing or other sectors; but it can lead to higher capital and overhead costs! Unnecessary Motion comes up in IT from: On-site technician visits to resolve hardware and software issues since effective remote methods are unavailable. Resolving repeat problems within the IT infrastructure and application architecture. In person team meetings (instead of remote alternatives) when members house at different locations. Lean-IT principles can help to address waste caused by excessive motion leading to better communication, better client-personnel relationships, increasing productivity along with cost-savings and streamlined operations.

In several IT departments we find a slew of unused hardware and peripherals. In addition because of poor planning and execution, it is quite typical to find incomplete application development ventures. Improperly planned and implemented Risk Control & Mitigation setup within the IT department as well within the organization to address technology emergencies lead to excess IT inventory holdings. All these above cause a type of waste, which is categorized in Lean-IT under Excess Inventory. This leads to increased costs for hardware, data center and operations along with lost productivity. Lean-IT principles can help to address waste caused by excess inventory leading to cost-savings and streamlined operations.

The way many changes are conducted, several defects and bugs get introduced within the system or application. This can happen because of: •	Sub-standard project execution •	Lack of exhaustive testing •	Unawareness of complete system or application functionalities •	Lack of understanding of functional & code level dependencies of the system/application within the overall application architecture When we consider our usual People-Process-Technology triangle; these defects not only have a direct bearing on the technology aspect but also on the People and overall Process utilizing those applications and systems. This leads to customer dis-satisfaction as well as increased technology overhead costs. Lean-IT principles can help address this issue by streamlining when and how changes are made in the system so that such defects can be minimized leading to increased benefits and lower operation costs.
